Automated planning for Safety and Compliance training

Recently, one of our customers reached out to us. They wanted to automatize a complex process that they used to manage manually. To maintain schedules and monitor compliance was time-consuming for them.

The customer asked us: “How can we automatize the assignment of the Safety and Compliance training, so that the learner can take the updated version only five years after the completion of the basic training, and then re-take the updated version every five years?
The rationale behind their request is simple: “Safety and Compliance Update” course should be assigned after the completion of “Safety and Compliance Basic” course but it should be visible on – and launchable from – the learner’s plan only five years later for the first iteration, and every five years for the next iterations.

At first glance, this appears to be a tricky question!

But we managed it by using two powerful tools: automated assignments and recurring assignments, plus the right combination of settings.

To discover how, let’s have a look at the diagram:
  • Automation #1 assigns “Basic” course to the learner on his/her hiring date.
  • Once the learner completes “Basic” course, automation #2 assigns “Update” course.
  • Thanks to fine-tuned system configurations, “Update” course appears on the learner’s plan five years after the completion of “Basic” course.
  • Once the learner completes the first iteration of “Update” course, automation # 3 reassigns the same every five years.


Does this automatic process look a bit complicated? Well, it might be – but it perfectly worked!

In this way, we managed to totally automatize a complex and critical process, which previously had been managed manually by our customer with a great waste of time and resources.
