Why We Learn? The Organizational Perspective: Compliance

In the past, adult education focused heavily on evolving the methods of how we learn.

With the rise of digital media, traditional instructor led classrooms have given way to new, more flexible methods of learning. This shift led to an emphasis on when learning occurs, with the realization that learning can happen continuously and within the flow of work.

However, a deeper question persists: Why do we learn? Addressing this question is crucial for successful and effective adult education. At TeamPeaks we use SAP technology to constantly enhance the learning experience and provide a complete and motivating context for the user to help understand why learning is relevant and compelling in the flow of work.

SuccessFactors Learning:
a comprehensive and engaging experience

SAP SuccessFactors Learning offers a very complete and engaging learning experience.

It is designed around a learner-centric approach and provides a very clear organization of all the training requirements and learning opportunities.

The learning home page is organized into three main area, each focusing on different aspects of learning and growth:

1) Required Learning

The first area concerns what is required to remain compliant and fully licensed to operate. As professionals, it is crucial to stay up-to-date with mandatory training to ensure compliance and maintain the “license to operate” in the daily work. This swimlane provides a clear overview of the required training, helping employees manage their compliance obligations effectively.

2) Important Learning

The second area focuses on learning, which is an important part for career and development. This section contains training necessary to prepare for future career steps. Typically, this training is identified through consultations with a coach, manager or HR business partner, who supports career advancement by aligning individual learning assignments with career development goals, ensuring that employees are well-prepared for their next steps.

3) Invest in Myself

The third area, “Invest in Myself”, is dedicated to self-driven upskilling activities. This swimlane focuses on personal growth and long-term career aspirations. Employees can identify competencies they wish to develop and pursue learning opportunities that align with their middle-term and long-term career goals. Suggestions for this area are constantly updated through peer recommendations and AI-powered engines. Deep learning algorithms generate personalized suggestions ensuring that learning remains relevant and aligned with organizational trends.

Focus on Compliance

SuccessFactors Learning robustly manages training compliance processes. The compliance cycle begins with assigning to each user a set of requirements needed to get compliant. This process uses rule-based curricula with due dates calculated on fixed or dynamic calendars. Non-compliance is managed audibly, as the initial required date always accompanies the completion date in the learning history of the users.

Once compliance is achieved, the “Stay compliant” cycle comes into effect, allowing organizations to maintain, add and revise requirements without affecting the compliance status of users.

New requirements and revisions are added to the existing curricula, providing sufficient lead time and thresholds to correctly update the new learning due dates on the learning plans. Compliance is guaranteed as long as users respect the due dates as they change. Notifications and on-screen messages communicate due dates clearly and in a timely manner.

The second part of the compliance cycle addresses the expiration of recurring requirements. Some training sessions have an expiry date and the user’s learning plan is maintained in a timely and automatic manner to manage retraining. Users have full control over their curriculum requirements at any time, with a clear indication of what is missing and what their next duty is.
Managers can inspect the compliance status of their users using out-of-the-box compliance dashboards.

Revision of training requirements

SuccessFactors Learning helps Organization to correctly manage the update of compliance-related training requirements.

The revision process is designed to update training requirements without disrupting in-progress compliance cycles. Training administrators can create updated course revisions and set future effective dates, giving compliant users time to complete the new revision before the old one is replaced. This process ensures that the completion status of each user is accurately tracked.

For instance, if an online item is revised before a user starts it, the user is immediately informed of the new version.

Completing the updated item ensures full compliance with both the old and new revisions.

Real time Compliance monitoring with People Stories

SuccessFactors Learning includes advanced reporting and tracking tools that provide real-time data on training activities. People stories are a significant innovation, empowering SAP clients to control all their learning data effectively. The power of people stories lies in their ability to combine various data points into coherent narratives that provide actionable insights.

This dashboard provides a detailed status on the progress of a training initiative. It shows how many users have online training assigned, started or completed, including specific information about the fulfillment of the core content and the status of related evaluations.

The dashboard also indicates who has evaluations pending, completed, started or not started.

This second dashboard is designed to provide supervisors with a clear overview of upcoming deadlines for users in their team: what is coming due next and what is already past due. This allows supervisors to intervene when necessary to maintain training performance KPIs in line with their objectives.

The interactive structure of the stories allows data to be sliced and diced according to different requirements, providing a comprehensive view.

Overall, People stories are a game-changer, providing deep understanding to the Organization and empowering training managers to make data-driven decisions and ensure Compliance is fulfilled and maintained.
